Job Scope

The Marketing Assistant (Campaigns, Events & Alumni Engagement) will support the Marketing & PR Manager and wider Marketing team in the planning, coordination and delivery of school campaigns, event marketing and alumni communications. The role is designed to provide additional capacity in areas where demand has grown significantly, ensuring that school events, departmental initiatives and community stories are communicated clearly, consistently and professionally. The postholder will work closely with academic, administrative, operational and community teams across both campuses, helping to translate school activity into high-quality communications, campaign content and event support. A key focus of the role will be maintaining and developing the school’s alumni engagement programme, including the alumni database, newsletter, social media activity, school visits, reunions and wider engagement opportunities. While the role has a clear focus on campaigns, events and alumni engagement, the postholder will remain part of the central Marketing Department and will work flexibly with colleagues across wider marketing priorities as required.

Safeguarding Statement

Safeguarding is everybody’s responsibility. All staff working at JESS will have some contact with children and young people and will therefore be in a position of trust. Staff with teaching duties will be responsible for the students that they teach and may also have additional specific pastoral or other responsibilities for other students they do not teach. In addition, all staff will regularly interact with students who may seek assistance or otherwise interact with them whilst moving around the school. In all cases, the staff’s responsibility for promoting and safeguarding the welfare of the students is to adhere to and always ensure compliance with the school’s Safeguarding and Child Protection policy and procedures to include whistleblowing ensuring all concerns are immediately passed on to the school’s Designated Safeguarding Officer(s) (DSO).

Main Tasks and Duties

This not an exhaustive list of duties/responsibilities. Please note that this is illustrative of the general nature and level of responsibility of the role. It is not a comprehensive list of all tasks that the Marketing Assistant (Campaigns, Events & Alumni Engagement) will carry out. The postholder may be required to do other duties appropriate to the level of the role, as directed by the Head of Department. The responsibilities outlined may be modified by the Head of Department, upon mutual agreement, to reflect or anticipate changes in the role:

Campaigns & Communications:

  • Support campaigns from development to delivery, including concept creation, messaging, timelines, asset planning, stakeholder updates and delivery tracking.
  • Identify strong storytelling angles that celebrate student achievement, departmental initiatives, community life and alumni impact.
  • Work with design and multimedia colleagues to storyboard content, brief assets, plan photography/videography needs and coordinate delivery.
  • Support the monitoring of campaign, event and alumni engagement data to help evaluate impact and inform future content planning.

Event Marketing & Coordination:

  • Provide marketing support for selected annual events, departmental initiatives and cross-campus projects.
  • Work closely with academic, administrative, operational and community teams to align event logistics with communication needs.
  • Coordinate invitations, programmes, signage, tickets, web updates, photography/videography briefs, social media coverage and post-event highlights.
  • Provide on-the-day communications support where required and gather post-event insights for future planning.

Alumni Engagement & Communications:

  • Maintain and develop the alumni database, ensuring contacts, interests, visits and engagement opportunities are recorded accurately.
  • Plan, write and schedule alumni newsletters, updates, social media features, reunion communications and targeted campaigns.
  • Support alumni events, school visits, talks, workshops, mentoring opportunities and storytelling projects.
  • Monitor alumni engagement across newsletters, social channels and events, using insights to improve future outreach.

Marketing Team Operations:

  • Maintain shared calendars, campaign planners, event trackers, briefing documents, file systems and asset libraries.
  • Upload and refresh website content, news stories and imagery so information remains current, accurate and brand aligned.
  • Support social media scheduling and publishing when required, particularly around campaigns, events and alumni activity.
  • Work flexibly across the Marketing Department to support priority projects, urgent requests and periods of peak demand.

Other:

  • To have professional regard for the ethos, policies and procedures of JESS and maintain high standards in attendance and punctuality.
  • To maintain smart and professional standards of appearance.
  • To act in a way that conforms to the school’s ethos and values and values of the UAE.
  • To participate in professional development activities, keep up-to-date with research, developments and best practice for counselling with the intention of improving professional knowledge and skills as well as the counselling service provided.
  • To adhere to the expectations set out in the staff handbook, staff code of conduct, KHDA Code of Conduct, Ministry of Education Code of Conduct, and the school policies.

Skills & Attributes Required

  • Strong written communication skills and the ability to adapt tone for parents, staff, students, alumni and external audiences.
  • Familiarity with digital marketing and social media trends and tools.
  • Experience supporting campaigns, social media content, events, and community engagement activity.
  • Confidence creating high-quality marketing materials using Canva, Adobe Creative Suite or similar platforms, with support from design colleagues where required.
  • High attention to detail and a commitment to high-quality visual standards.
  • Excellent organisational and interpersonal skills, with the ability to manage timelines, multiple stakeholders and competing priorities with a positive, team-focused attitude.
  • Understanding of school environments, safeguarding expectations and professional, values-led communication.
