Working hours: 7:15 am to 3:45 pm Monday, Wednesday & Thursday
Holiday Entitlement: 6 weeks Summer holiday | 3 weeks Winter break* | 2 Weeks Spring break* | Half Term Holidays* (*you may be requested to work a maximum of 2 days annually during these holidays with a term’s notice in advance).
Reporting to: Headteacher/Headteacher’s PA Deputy Heads
Main Purpose of the Post
To act as the first point of contact for enquiries, either by telephone or in person and provide administrative support to the Arabian Ranches SLT and academic staff.
Safeguarding Statement
Safeguarding is everybody’s responsibility. All staff working at JESS will have some contact with children and young people and will therefore be in a position of trust. Staff with teaching duties will be responsible for the students that they teach and may also have additional specific pastoral or other responsibilities for other students they do not teach. In addition, all staff will regularly interact with students who may seek assistance or otherwise interact with them whilst moving around the school. In all cases, staff have the responsibility for promoting and safeguarding the welfare of the students and must adhere to and always ensure compliance with the school’s Safeguarding and Child Protection Policy and procedures to include whistleblowing and ensure all concerns are immediately passed on to the school’s Designated Safeguarding Officer(s) (DSO).
Main Tasks and Duties
This not an exhaustive list of duties/responsibilities. Please note that this is illustrative of the general nature and level of responsibility of the role. It is not a comprehensive list of all tasks that the Administration Assistant will carry out. The postholder may be required to do other duties appropriate to the level of the role, as directed by the Headteacher The responsibilities outlined may be modified by the Headteacher, upon mutual agreement, to reflect or anticipate changes in the role.
Reception:
- Assist with the Primary front office, answer the telephone and deal with all related enquiries.
- Ensure the primary reception/administration area, and administration store is tidy and organised.
- Support with children not collected at the end of the school day, contacting family members, and ensuring safety of children until collection.
Isams Registers/Absence Reporting:
- Update and monitor attendance registers daily, ensuring all are kept up-to-date and printed daily for use in the event of an emergency.
- Follow up with unregistered absenteeism.
- Collate half termly attendance reports for KS1 and KS2.
Assessment Data:
- CAT results administration and communication to parents.
- Future Leader Plan review and distribution to parents.
- Prepare No More Marking Assessment sheets and upload for marking.
Staff Support:
- To email parent letters on behalf of departments – Music/Oasis/PE/Arabic.
- To Liaise with Arabic, Islamic and Maths Departments to create class sets and groups and upload onto iSAMS.
- Preparation of Timetables for all year groups and specialists.
- Provide administrative support to SLT including diary management.
- Administrative support prior to and during inspection.
Health & Safety:
- To produce an Emergency Contact Parent List.
- To ensure emergency information is up to date and assist during fire drills: Update Fire Registers and Packs | Update Red Book.
- To liaise with Arabic Secretary for staff visa/OHC medical examinations.
- To co-ordinate class Health and Safety checklists and liaise with Facilities.
Student Administration:
- Oversee Seesaw class folders and registration at the start of the Academic year, with ongoing parent support.
- Assist with school events, e.g. JESSFest, International day and external events such as Leavers Disco.
- Provide administrative support for whole school ECAs.
